ABOUT THE ROLE
We are seeking a talented Executive Assistant to support our Visionary Chief Executive Officer (Sienicki) and our Integrator Chief Executive Officer (Erik Hicks). This experienced administrative professional will provide support to the CEOs by supporting key projects and performing important functions such as handling their calendars and emails, organizing, and preparing for meetings and conferences, and assisting in Board of Directors relations. The Executive Assistant will contribute to Metro Caring’s mission by providing efficient, personalized, and timely support to leadership as they envision and implement Metro Caring’s mission. Metro Caring is seeking an adaptable individual who is passionate about our mission and excited to serve in this role long-term. This position reports to the CEOs and will be located in Denver, CO with a hybrid work-from-home/work-from-office schedule throughout the week, including a 32-hour, four-day work week.
The ideal candidate for the Executive Assistant role is a highly organized, proactive, and resourceful professional who thrives in a fast-paced, mission-driven environment. They excel at managing multiple priorities, building strong relationships, and acting as a strategic partner to senior leadership. The candidate will bring exceptional attention to detail and the ability to anticipate needs, ensuring the seamless coordination of schedules, communications, and administrative tasks. They will play a pivotal role in supporting Metro Caring’s vision by fostering collaboration and maintaining an environment where the team can focus on co-creating impactful solutions with the community. This leader will offer genuine empathy for others with a focus on deeply understanding the rich Metro Caring community. KEY RESPONSIBILITIES
Executive Leadership Support
Email Management: Organize and manage the co-CEOs’ inboxes, responding to or redirecting emails as needed. Act as the main contact for sensitive and critical communications, ensuring actions align with organizational policies and each CEO’s style.
Calendar Management: Schedule and coordinate the co-CEOs’ calendars, prioritize requests, and resolve conflicts to ensure smooth daily operations.
Travel Coordination: Arrange all travel, including bookings, itineraries, and expense reporting.
Project Management: Assist with co-CEOs’ projects by identifying obstacles and facilitating progress toward goals.
Fundraising Support: Partner with the Development team to coordinate fundraising efforts, including managing call lists, donor notes, and meetings.
Meeting Preparation: Handle logistics, scheduling, presentation materials, and communication for internal and external meetings, ensuring language inclusivity.
Communications: Collaborate with the Communications team to reflect the CEO-Visionary’s voice in organizational messaging.
Strategic Support: Work with the CEO-Integrator to implement the organization’s strategic vision.
Expense Management: Prepare and submit expense and reimbursement forms.
Data Tracking: Maintain records of partnerships, donor cultivation calls, and meetings.
Board of Directors Management
Meeting Support: Attend Board meetings, take minutes, and manage documents in Microsoft Teams.
Communication: Act as a liaison between staff and the Board.
Meeting Preparation: Prepare and share meeting packets, minutes, and the Board calendar.
Board Chair Support: Assist the Board Chair with projects, meetings, and donor relations.
Calendar and Task Management: Maintain the annual Board calendar to ensure key tasks are completed.
Recruitment and Onboarding: Support recruitment, onboarding, and evaluation of Board members.
Strategic Project Support
Meeting Organization: Coordinate materials, scheduling, and follow-ups for key meetings such as Board, staff, and strategic planning sessions.
Financial Coordination: Assist finance staff in ensuring the CEO-Integrator completes financial tasks like grant reviews, signing checks, and banking.
Task Assistance: Support additional delegated projects and assignments.
Culture of Engagement
Participate in team and all-staff meetings, retreats, and training sessions.
Attend a "Planting Seeds" tour within the first month and invite at least two contacts annually.
Complete a quarterly shift in another program or department.
Join a staff council to support Metro Caring’s workplace culture.
Take part in IDEA and anti-oppression training to integrate core values into daily work.
Attend weekly volunteer gatherings to connect with the broader community.

You have at least 3-5 years of Executive Assistant experience.
IMPORTANT DETAILS
Location: Denver, CO
Time: Full time, with a 4-day, 32-hour work week.
Compensation: $52,000 - $72,000 full-time, exempt, annual salary.
- Benefits:
Four-day workweek with 32 hours per week of work, allowing a 3-day weekend to recharge
96 hours per year of paid time off, as well as paid sick leave, paid holidays, and paid family leave.
We also offer participation after 3 months of employment in our 401K retirement plan with a 5% employer-paid match.
After 5 years of employment, a sabbatical is offered to staff

APPLICATION PROCESS AND TIMELINE
- Applications Open: This application should take about 20-30 minutes including submitting your resume and a few questions.
Phone Interviews (30 minutes)
Coffee Interviews with CEOs (1 hour): This interview will dig into the details of your professional experience in relation to this role. There will be virtual options for non-Denver metro area candidates.
Project (1 hour): If moving to the project phase, you will receive a project scope which will take about 1 hour to complete. A $75 stipend will be provided for the time that candidates spend on this project.
In-Person Final Interviews (3 hours): These will be with members of the team, as well as potentially members of the Board so that you can learn more about the organization and we can dig into any final questions to ensure mutual alignment. These will be in person in Denver.
Reference Calls: Final candidates will share 3 professional references and we will reach out to them for 15-minute phone calls.
